Can AI replace it? is an Arcgent initiative. This notice describes how this version handles audit and contact data.

What the audit sends

When you submit an audit, your process description, department, systems, workload figures, data format, exception frequency, error consequences, and additional context are sent to our server and to OpenAI to generate your assessment. Do not include personal customer records, credentials, or confidential documents.

What is stored

The submitted process and resulting assessment are stored in a database hosted through Cloudflare. The audit does not require an account or email address. Contact details are stored only if you ask for a copy of your report by email.

OpenAI processing

The server calls OpenAI with response storage disabled. This setting does not itself remove any provider-side retention or abuse-monitoring obligations. OpenAI processes the submitted workflow under its applicable API data policies. We do not send your name or email as part of the model request.

Availability and deletion

Audits and report requests expire after 30 days and are excluded from application access after expiry. Expired records are deleted when the next audit or report request triggers cleanup, so physical deletion may occur later if the site is inactive.

Page addresses and request limits

If you start from the homepage or a library card, your description travels in the page address until the audit form loads it. We use short-lived, hashed network identifiers to limit excessive requests; raw IP addresses are not stored in the audit database. Hosting and AI providers may keep their own operational logs.

Optional analytics

Google Tag Manager and Google Analytics load only after you accept analytics on this website. We use them to measure page use and anonymous product events such as starting or completing an audit. We do not include your process description, name, email address, or audit reference in analytics events. Your choice is stored in your browser.

Report copies

If you ask for a copy of your report by email, we store your name and email address with a reference to the audit so Arcgent can follow up about that audit. The report PDF is generated in your browser and sent to your address through our email provider, Resend, which processes the message to deliver it. It does not subscribe you to a newsletter.

Questions or deletion requests

Contact Arcgent through arcgent.ai. Include the email used for a report copy, or your audit reference if you have it, without sending additional sensitive process information.
